Documentation for Microsoft OneNote 2010 will be coming online over the next several weeks and months as we work hard to put the finishing touches on the new version.
Typically, we take customer feedback from the current and prior versions of a product into consideration when planning and designing the Help system, but we’re very interested to hear from all the Beta testers out there if there are any OneNote 2010-specific features (new, changed, or old) that you’d like to see more documentation about.
We’d also like to know what kind of content would be most helpful to you — traditional Help articles, visual walkthroughs with lots of screenshots, step-by-step tutorials, videos, training courses, reference charts, cheat sheets, or anything else you’d like to see?

Hi Ariyah, authoring information is normally turned off, but you can reveal who wrote what by de-selecting the Hide Authors button on the View tab of the Ribbon.

It is important for me and many of my coworkers to have dual language support. So it may be nice if you could put in a reasonable section regarding something like the Language Interface Support Pack or the new language tool I see under File/Options.

Hi there,
I tend to like text-based instruction pages with open space, bulleted lists, handy headings… e.g., something that’s very easy to scan! :-)
And content-wise, I’d appreciate seeing the following:
- Compatibility: Which browsers will OneNote Web work in? Which browsers/apps will work with Linked Notes?
- Frequently-Accessed-Pages: Are there tips for making these pages accessible quickly? So far, I have figured that I can do Win-Shift-N to quickly open OneNote and then CTRL-E to find a page, but is there a way to “pin” a page somewhere?

I’m with Adam. Good, well-organized text instructions are much more effective and efficient than video or audio demos.
While I like videos for quick overviews of a product or general function, I really dislike that much of Office Help has gone primarily to video. The bandwidth, both network and user-experience is much greater with video, but it takes much longer to find a single answer while waiting for a 5-minute video.

Hi Mat, templates are not part of the product documentation, but you can download and use any of the hundreds of free templates available on Office Online. Hi Doug, the old menus and toolbars have been replaced by the Ribbon interface. If you don’t see the Ribbon, you can toggle it with CTRL+F1.

Hi Bob, you can easily do this by following the steps in the “Customize a template” section of this Help article: http://bit.ly/7NsHIo (we’re planning to post a OneNote 2010-specific version here soon, but in the meantine, you can probably figure out how to do this by looking at the OneNote 2007 version).

Also, please note that Beta software is not covered by technical support because the product is not yet finished. “OneNote Help” on this Web site refers to the Help system, which is the documentation that appears when you press F1 in any Microsoft Office product.
Typically, Help content is not made available during a Beta release, but for OneNote 2010 Beta we’re making early drafts of our documentation available here in hopes of helping users get up to speed a little easier. There will be more to read here over the coming weeks and months.

Print driver needs options to reduce size of print out like 2007 print driver had. Zoom in/out is NOT an acceptable substitute.

Hi Jeramie, you should be able to freely resize and scale inserted printouts in OneNote 2010 Beta. Click an inserted printout to make the file handles around the image appear. You can then click the corners to drag the handles until your inserted printout is the size you want. Note that you can also use the print options in the programs from which you print to OneNote to control how the printout will appear.

I just opened a 2007 OneNote workbook and noticed that the order of the tabs automatically changed to alphabetical order and there doesn’t seem to be any way for me to adjust the order in which they are shown at the top of the pages. I had one that was by level of importance, which is now not the same. I thought in the old 2007 program, I just drag the tabs across the top of the page to create the order it which they are displayed and the order in which the pages are in the work book

I just answered my own question. The file that I was trying to bring up in 2010, wasn’t saved in such a manner that it could be opened by 2010. My fault. I went back and the tabs can be drug as before, my BAD. Please accept my apology…Great program..just newbee running it.

Close Notebook shortcut. In Onenote 2007 to close a notebook I would use Alt F L. This is not the case for 2010. I open and close up to 40 notebooks per day. Can you tell me the shortcut for Close the Notebook. Thanx.

Hi Clinton, I’m not aware of a Close Notebook shortcut key, but you can add an icon for this command to your Quick Access Toolbar. This lets you close the current notebook with just one click instead of two.

Would like to know the best practice to make Onenote meeting notes in sync with and Outlook meeting. This has changed from the Office 2010 Tech Preview to the Beta. There may be a bug, since when ever I try to edit Onenote meeting notes from the Outlook meeting they are synced with, a new note is created.

For some reason, when I “dock to desktop” it places it toward the upper portion of my screen as opposed to the right. Is there some small setting that I adjusted or overlooked? I checked the settings and they are correct under display option. Please advise.

Marcus, not sure why this isn’t working for you. Do you have a dual-screen monitor setup by any chance? Can you try and reposition the docked window manually and, if so, does it remember its new position?

It just happened to me, as well. It was docking on the right before and now it sit stubbornly on top. There must be a way to reposition it, but it resists any manual attempts…

I have a dual monitor setup (HP laptop and a 22 inch Envision monitor) and I am having the same problem with the docking – it ended up on top instead of on the side and will not allow me to move it back to the side.

Hi Tracy, the author names come from each user’s OneNote personalization. This can be changed by editing the username and initials from File > Options > General > Personalize your copy of Microsoft Office.

I just downloaded a OneNote template. Since it didn’t find OneNote 2007 (because I have the 2010 beta installed), I had to save it to the general Application Data\Microsoft\Templates directory. The next step says: “Open OneNote and look for the downloaded stationery in the Stationery task pane”
But I have no clue where the Stationery task pane is, and a search at this site didn’t find it. I figured out that I could find this in New Page templates.

“Stationery” was what templates were called in OneNote 2003. In OneNote 2007 and OneNote 2010, stationery was renamed to templates. You can get to the Templates task pane in OneNote 2010 Beta by clicking the little down-arrow next to the “New Page” button (located over the page tabs near the right side of any notes page) and then clicking the “Page Templates” command.

The FAQs say that a native print driver is a part of the x64 installation now, but I do not see a OneNote printer anywhere in Windows or in and other Office program. Where is it/how do we enable it!

Hi Matt, the printer driver would show up in your Printers control panel, where you can select it as if it were an actual printer you have installed. You can set it as your default selection there, or manually select it whenever you print something. If you want to select it each time, you’ll need to open the Print dialog box in whatever programs you want to print to OneNote from.

Hi Michael, it is not there, I have experience with OneNote in the past and the printer driver. It is currently not installed on my computer using the x64 version of the 2010 beta. Should I try reinstalling? Has anyone else reported this problem?

Matt, can you first try repairing your Beta installation? Close all open programs and then open the Windows Control Panel. Go to your list of installed programs and then click to select the Microsoft Office 2010 Beta in the list. When selected, you should see an option pop up near the top of the list that says Change. Click that, and then opt to Repair in the dialog box that appears. Restart your computer and see if that helped to restore the driver. Let me know!

Michael, thank you for keeping up with my comment, it is greatly appreciated. I have been using OneNote 2007 on an old computer for the printer driver and then transferring the files. So a little extra work, but I love the 2010 so I want to keep using it!
I did the repair and restarted. The driver is still installed. I guess the next step is to try a re-installation? Thanks. Matt

For the interim, could we get a quick-access link to OneNote 2007 documentation? It looks like the beta documentation here focuses (understandably) on things new to 2010, but I sometimes need to look up some basic functionality that probably hasn’t changed. Since I uninstalled Office 2007 I lost the documentation that went with it (and so far that’s been the only thing I’ve missed from 2007).

Documentation for OneNote 2007 (the current retail version) is still available on the Office Online web site. How do I change the default format of a side note? I hate that side notes start off looking different from other notes. I always have to change the note color and add a title, that bugs me.

Side notes have fixed formatting when they’re created automatically, though you can change their format once they’re part of your notebook. I agree with your suggestion that this should be configurable and have passed this idea on to the product team. Thanks for your feedback!

I was wondering if you can still view all tagged notes. You used to goto view -> all tagged notes, and then you could filter that list to section group … and finally create a separate page for the tagged notes. I can’t seem to find that in 2010.

I’ve tried several ways – OneNote open/closed. I have win7 x64 Ultimate. The phone also has OneNote 2007 mobile on it and there’s no option to remove it on the phone. I’ve started the computer with the phone connected adn connected it after the fact. Nothing seems to work. ActiveSync reports an error synching OneNote “Attention Required”

Since I started the thread on Mobile OneNote, I’ve gotten a new phone. samsung Omnia II. There is no change in the inability to install OneNote Mobile 2010. The new phone came with OneNote Mobile 2007 on it (I also had it on the previous phone) I don’t see any options to remove the 2007 version.
I have repaired the Office Installation, as well as uninstalled the OneNote Mobile support and reinstalled via Add remove Programs on the PC. I still don’t ever get the Mobile section in the OneNote 2010 options.
The WinMo device center error reads as follows:

Hi Bob, both ways to insert space are still available in OneNote 2010. To add space anywhere to a notes page, click the Draw tab on the Ribbon and then click the “Insert Space” button. If your notes page has enough written on it for the vertical scrollbar to appear, then you can also quickly insert more space at the end of a page by clicking the little”Scroll Down by Half Page” button right underneath the vertical scrollbar.

I use One Note as a electronic medical record keeping system. We need more security against changes – You have a “set to background” control – we need to be able to set overlying writing (text or handwriting) to the set, “set to background” as well (setting and fixing the different layers), either manually or automaticly. Can this be done?

Hi Elanor, the Pages tab on the Ribbon gives you an entry point to search, which lets you easily navigate without leaving the docked mode. You can also use the Ctrl+E keyboard shortcut to bring up the search interface in place. Hope this helps!

The Live Sharing Session feature from OneNote 2003 was carried over to OneNote 2007 but it is no longer available in OneNote 2010. The improved functionality of the shared notebooks features on computers, networks, on phones, and on the Web made many of the features redundant. I hope you can give shared notebooks a try, they really make things a lot simpler for sharing and co-authoring.

Just wondering, though… how fast are shared notebooks supposed to update? I gave them a try a while ago, and it was unbearably slow. The Web sharing feature sounds like it will be interesting to have… but will the web editor support ink? Although I love OneNote, I do prefer to use Linux, and since there’s pretty much no chance of a Linux OneNote client (I would pay for one since OneNote is hands down the best note-taking app I’ve found), the web client will be the next best thing. (Having a web-based backup that can be viewed from a browser will help either way, though.)

Hi Jonathan, there’s no official benchmark for the performance of shared notebooks. They’re pretty much as fast as the machine/network/platform that you’re on.
Most product teams here on the Office team have standardized on shared notebooks over our corproate network. I’ve not heard of anyone having major performance issues, even those on slower LAN cards (100). As a writer, I don’t get nearly the same caliber of PCs that developers do, and I’ve worked with some pretty crazy big shared notebooks in my time. Even so, I have never had speed/access issues with them. Not sure if this is helpful, but for what it’s worth, it’s an honest anecdotal account. :)
I hear you on the Linux issue and hope you will enjoy the Web client when it’s ready. I wish it could have been included in the Beta, but I think it will be worth the wait. Meanwhile, thanks for checking out the Beta and posting a comment!

How do you use the highlight tool repeatedly when going through the document? I can only highlight one segment of text at a time by manually selecting it then pressing highlight.

Richard, you should be able to select text, then hold the CTRL key and select additonal text elsewhere on the page (you can do this repeatedly while you keep CTRL held down) and then press the Highlight button. Please let me know if this works for you.

When I print 2010 powerpoint slides to 2010 onenote, they are blurry and difficult to impossible to read. I am doing exactly what I did previously with Office 2007. I have selected high quality prints and increased the dpi for the printout without much, if any, improvement. Is this just a problem of 2010?

I downloaded the powerpoint from my school’s website for class. This seems to be the problem. Office 2010 puts some protective measures in place for all documents downloaded. When I unblock the document (right-click on document -> properties -> unblock), it prints normally. This new office protective feature is very time consuming for me as I download many documents created by professors and posted online. Is there some way to turn that off?

What’s happened to “Create Linked Page” in OneNote 2010? I used this a lot in OneNote 2007 – you could (e.g.) right-click any selected text, and create a linked page from the context menu. But I don’t see that option in the 2010 beta. There *is* the new support for [[Wiki Syntax]] (yay!). I think it’d be very cool to have options for linking to a section (for example), and not just a page. Maybe you could support [[Some Page]] and [[[Some Section]]]…??

I use OneNote for business purposes and constantly save emails from my Outlook. Since upgrading to 2010 Office (Beta) I am unable to enable the Add-in for OneNote in my 2010 Outlook. I have tried enabling it in my “Add-in”. (Used the following link “http://www.technologyquestions.com/technology/microsoft-onenote/470913-i-cannot-enable-send-onenote-outlook-2010-beta-onenote.html” but still unable to get it working. Any help?

Got it working by doing the following:
I managed to get this to work following these steps:
- Go to the “Manage add-ins” screen (via File – Options – Add-Ins – Manage Com Add-ins – Go)
- Remove the “OneNote Notes about Outlook Items” add-in (it was listed twice on my pc)
- Restart Outlook
- Return to the “Manage add-ins” screen (see step 1)
- Click the “Add” button
- Browse to c:\program files (x86)\Microsoft Office\office 14\Onbttnol.dll and click OK
- Restart Outlook

Unfortunately Outlook won’t let me remove those addins. It tells me that I must be an administrator – I am an administrator and the only user on my computer.
I’m using Windows 7. Any suggestions?

I have the same problem. There are no buttons in Outlook to send items to Onenote. I have performed these troubleshooting tips a couple times with no success. The add-in is listed within Outlook as “Microsoft OneNote Outlook Add-in Class” on my machine. I’m on Vista32.

With further examination of one note 2010, I discovered a tab on the left bottom of the screen called “Unfiled notes” and there in plain site was all of my old notes.

Jimmy, thanks for the follow-up. The Unfiled Notes section is a special section that saves notes from various sources. You can drag pages out of this area and put them in their rightful sections of your notebooks. If dragging and dropping pages is too error-prone, you can also right-click any page tab and use the “Move or Copy” command to manually move or copy a page to another section.

I miss the Align to Grid toggle. I just made a table, and I wanted to move the arrow to one particular cell, but because of the alignment to the grid, I could only align it to either edge of the cell. Other than that, I have been completely satisfied with ON 2010!

I never knew anyone else who appreciated this feature, Sam. I miss this, too. But there’s good news. When positioning any note container, image, or object on a OneNote page, you can hold the ALT key while moving the object and it will be free from the invisible grid snapping. Give it a try! :)

There’s no built-in way to automatically sort pages, but for OneNote 2007 we had a plug-in available to do this. I tried to install the page sort powertoy but it does not appear to work. It inserted the icon on the add-in menu but pressing the button does not appear to do anything.
The ability to sort by creation date and alphabetically is extremely useful and, IMHO, should be built-in to the product.

I have several requests:
1. How can I link Access (or other databases) to Onenote pages or folders?
2. I would love to be able to automatically create “tables of contents” pages, preferably by seaching a notebook for keywords and applying a tag (or format) which would indicate that it should be included in the TOC (kind-of like as in Word). Is this possible? If so, any help would be appreciated.
3. Some of the powertoys developed for Onenote 2007 by members of the development team are just fantastic. Is there any chance we can obtain versions for 2010 (especially the print-to-onenote output manager)?
4. Is it possible to create templates with pre-defined fields, protected text, default values, etc? A good connection to DBMS with form-fill would be a better option. Is this possible to achieve in some manner?
I am using Onenote to organize my notes for medical school–these features would make my efforts much easier and more productive.

The only way to display an entire Web page on a notebook page would be as a static image.

I hope you can add a feature that will allow us to edit the spacing, so we don’t have to use the Enter key again and again to add space after every line. Also, a OneNote extension in Firefox (or bookmarklet, whatever) would be very much appreciated. Thanks :)

Hi Alceste, you can simply reinstall the Beta (or choose to Repair it) by running Setup again.

OneNote template based on GTD… there are a lot of people interested on it, some are trying it their own way. I’m sure that an “official” template will boost the sales of OneNote since it will automatically gather that whole target market.

When I print from OneNote it splits my pages into 2. Can I change that?

You can get around this by first opening the program that created the file that you want to print and then using the Print… menu command. In the Print dialog box that opens, choose the Send to OneNote print driver as the printer, and then adjust the printing options as you would for real paper. Hope this helps!

Kudos on OneNote 2010 – I’m loving all the improvements, but have some questions about the new print driver (32-bit version). I like that it can/should support higher quality printing, but I don’t see any difference btw 1200dpi and 600dpi output, even when zoomed in to 200% (could just be the source documents/applications, though – not sure if Acrobat or Powerpoint actually send anything >600dpi to the print driver). Should the difference be noticeable on screen?
More frustratingly, there seems to be an unprintable margin of ~1/2″ on all page edges. The OneNote 2007 driver would “print” all the way to the edge without dropping content. I can only keep the new driver from cutting off edges by ensuring printed documents have consistent borders (not always practical with PDFs and PPTs) or by scaling pages to fit the new printable area (which usually results in extra-wide margins around the actual content). Is there a setting somewhere that permits borderless printing with the 2010 driver?
Also, any plans to bring back arbitrary “paper” sizes? It was nice to be able to print web sites into OneNote 2007 using 8.5″x36″ pages – really cut down on the unnecessary page breaks you get when using letter or legal size pages. Page breaks + mandatory page margins = way too much white space interrupting what ought to be continuous documents.
Thanks for a great product with a promising future. Any tips anybody can provide would be a big help (besides “keep using the 2007 driver” – I figured that one out on my own :-).

Where are stored inserted documents? I want to be sure that my backup of OneNote 2010 is secured. Currently all my ONeNotes workbooks are stored at D://OneNote/
And backups are made on F://OneNote
By the way I am working on lots of documents reviews and I used to drag and drop a new document into a clear note and then write beneath the doc icon. But I am pretty sure those documents are not stored within the note and instead are in appData/local/Microsoft/onenote/14/OneNoteOfflineCache_Files. Am I right?

Hi- I really like the improvements to OneNote so far but I have two questions:
1. The docking feature is nice but I’m having trouble changing the location. I guess because of habit I like to have items docked to the left side of my wide-screen monitor. Somehow I moved the docked screen to the top and now it is stuck there. I prefer the left but I’d go back to the right if necessary but I can’t budge it now. Short of re-installing OneNote, how do I change the location?
2. In the past OneNote would not transfer a web page over completely; hyperlinks to articles and such at a particular site would not function because only a “label” or “symbol” transferred over to the OneNote page. Will this be fixed in the final version of OneNote 2010?

David, do you have a single-monitor or a dual-monitor setup? Please confirm. We’ve seen reports of the docked window getting stuck in the latter scenario, please let me know if that’s your situation as well.
With regard to Web pages, it’s getting tricky because the various scripts on many Web pages now defy all HTML and XML rules and schemas and they often cannot be rendered outside of their intended Web servers. You can avoid this by immediately checking such links to make sure that a transferred Web page works as expected once pasted into OneNote. And to preserve formatting of information from a Web page, you might also get excellent results by taking a screen clipping of that Web page and perhaps adding a manual link to it.

Unfortunately, full style support is not yet available. What you see in the Beta is the first step in that direction. To help help bridge this gap a bit, you can use the Format Painter feature to duplicate text formatting that you’ve created once.

If your trying to make a group of existing pages all the same page color, hold shift and click on the range of pages you want to change, go to View > Page Color > the color you want.
If you trying to make it so that every new page you create from now on is a certain color, layout, Rule Lines, ect. Create a new page than alter it to the way you would want the blank page to appear (green background, blue grid lines, the text box “Enter Name Here”, ect.). Then click the small arrow triangle to the right of “New Page” in the right hand corner of the page list column a select “Page templates …”. A list of templates will appear. At the very bottom is a blue text command “Save current page as a template”. Click it, name your template, set as the default template for this section, and hit “Save”. Now this page will appear every time you make a new one.

I would strongly suggest creating a OneNote 2010 support article (with a reference table) giving an overview of how OneNote integrates with other applications. My OneNote 2007 users and my OneNote 2010 beta users are frequently confused as to the “best way” to “get stuff into” their Notebooks.
For example, a table explaining the integration features between OneNote 2010 and various applications would be VERY helpful…
- Internet Explorer 8: (Linked Notes Session support, “Send to OneNote” button/context menu item, “OneNote Linked Notes” button, Copy & Paste with auto hyperlink, Print to OneNote).
- Outlook 2010: (No Linked Notes Session support, send to OneNote button, Outlook Tasks support, basic Copy & Paste, Print to OneNote).
- Firefox: (No Linked Notes Session support, Copy & Paste with auto hyperlink, Print to OneNote)

Over the years I have been looking for an application that would allow you to insert space into a scanned document. This would greatly assist with work sheet assignments needing more room for calculations or written answers. Will One Note be able to do this? Teachers and students would greatly appreciate that type of software.
